Transform Work Office Manager

Transform Work is a charity which supports individuals in the workplace by connecting, supporting and equipping Christians to encourage each other in their professions or sectors to engage with the management of the organisation for which they work.

Transform Work currently has 3 part-time paid staff, and around 30 part-time volunteers (24 Ambassadors and 6 Associates). The majority of these are individuals who connect with and encourage both individual Christians and leaders of Christian Workplace Groups.

We are now seeking to expand our work and improve productivity by employing a part-time office manager to run the administration of our virtual office and enable greater productivity of the CEO. The successful candidate will report to the CEO, who is responsible for our work in support of Christians in the workplace.

Job Specification

This postholder will be responsible for supporting the CEO in her duties, including:

1. Managing the office inbox
Dealing with supporter enquiries such as joining the team or an email list; starting or joining a Christian Workplace Group (CWG) or Professional Sector Group (CPSG) and other enquiries.

2. Website Enquiries
Responding to public activity from the website for example individuals who want to be signed up to a CPSG or CWG or newsletters or advertise their event on the Transform Work events page.

3. Transform Work office calendar and in-house event management
Ensuring that all internal team events are in all the internal calendars for the team – for example regular prayer meetings, special events and Board meetings. 

4. Event administration (external)
Supporting the Christian Workplace and Sector Groups, for example in publishing events and social media posts. 

5. Manage Transform Work Google Drive
Manage the team folders, keeping them tidy, making sure they make sense to the team and that Ambassadors can find relevant resources to support their groups.

6. Team requests
Managing administrative requests from the team, including staff IT access, updating the web site and managing team access to our database.

7. Team onboarding
Manage the onboarding of new team members, setting up email and folder access, ensuring that appropriate onboarding documents are signed, and that initial support is in place.

8. Cleansing database
Manage our subscriber and group database, ensuring that system access is kept up to date, information is correct and that GDPR policy is maintained.
 

Person Specification

The person should be: 

Essential:

• In agreement with the Transform Work statement of faith
• Experience of working in an online office environment
• Comfortable making decisions without excessive supervision
• Familiar with MS Word, Excel, Powerpoint and use of email
• Familiar with Google Suite
• Able to write emails, letters and occasionally documents in an appropriate style
• Able to use, with training, the Transform Work online database
• Able to engage confidently with new contacts, particularly on the telephone
• Able to self-organise around a given work schedule
• Reliable, completing assigned tasks to deadlines
• Able to learn and pick up new tasks and processes
• Able to work at home using own laptop and internet connection.
   

Working Hours

It is expected that the successful applicant will work 2 days or 4 mornings a week, but alternative work arrangements will be considered. This is a virtual role, working from home, although there will be an occasional need to travel to support team and in person events.

The salary will be in the region of £27,000 pro-rata.
